AI Sales Assistant: What It Does, the Main Types, and How to Choose One (2026)

An AI sales assistant is software that takes part of a salesperson’s work off their hands: researching accounts, writing outreach, answering a buyer’s question during a call, writing up the notes and updating the CRM afterwards. Most products do one or two of these jobs well, so “AI sales assistant” covers very different tools, from a Mac app that shows answers during a call to an agent that sends hundreds of cold emails on its own. Before comparing products, decide which part of your week you want back.

Checked in October 2026. Statistics come from Salesforce’s State of Sales report and Gartner; product facts and prices come from each vendor’s own pages or the reviews we link in the sources, and they change often. We make Realtimer, one of the tools mentioned below.

Why sales teams are adding AI assistants

Salesforce surveyed 4,050 sales professionals in 22 countries for its 2026 State of Sales report. The average seller spends 40% of their time actually selling; the rest goes to research, data entry, internal meetings and admin. 48% say they don’t have the bandwidth for enough cold outreach, even though they spend nearly a full day a week on prospecting.

AI is already common. 87% of the sales organizations in the survey use some form of it, and 54% of sellers have used AI agents. Sellers expect agents, once fully set up, to cut prospect research time by 34% and email drafting by 36%. Those are survey expectations rather than measured results, and Salesforce sells agents, so treat them as a rough guide. The same report shows what holds AI back: 51% of sales leaders using AI blame disconnected systems, and 74% of sales professionals are working on cleaning their data.

Gartner made the bigger prediction back in September 2023: it expects 60% of seller work to be executed by generative AI technologies within five years.

Research and prep

The cheapest assistant is a general chatbot with good input. Paste the prospect’s website, last call notes and your price list, and ask for the three questions to open with. It works, but nothing is saved, nothing connects to your CRM, and it can’t help once the call starts.

Outreach writers and AI SDR agents

These two are often confused. An outreach writer drafts the message and a rep decides whether to send it. An AI SDR agent does the whole job by itself: 11x describes Alice as identifying prospects, researching accounts, writing personalized outreach, handling replies and booking meetings; Artisan sells Ava as an AI BDR that works mainly by email. Prices are quoted or plan based and change often; reviews we found put 11x in the thousands of dollars a month.

An agent sends on its own, so read a week of what it writes before you let it run, and check it against your sending limits and your country’s rules on unsolicited email.

Real-time call assistants

These are AI call assistants: they listen to the call and help while it’s happening. They differ mostly in where the help comes from.

Some show cards written in advance. Dialpad’s live coach cards and Gong-style trackers fire on keywords such as a competitor’s name, and somebody has to write and maintain them.

Some follow a sales framework. Aircall AI Assist Pro prompts the rep through a playbook of your choice (SPICED, BANT, MEDDIC or PACTT). It costs $49 per user a month on annual billing, on top of an Aircall plan, and only works on calls made through Aircall.

Others answer from your own documents: the price list, playbook and product sheets, so the answer fits the question the buyer actually asked. Realtimer works this way, and Avoma’s real-time answer assistant is part of its Conversation Intelligence add-on.

A real-time assistant either joins the call as a participant (a bot) or listens on the rep’s own computer. Buyers see a bot in the participant list; they don’t see an app on your Mac.

Conversation intelligence

Gong is the best known. It records the call, writes the summary, tracks topics and shows managers trends across the team, which helps with reviewing calls afterwards more than with the moment the buyer asks a question. Gong doesn’t publish prices; buyer reports put the license at about $1,300 to $1,600 per user a year, plus a yearly platform fee. We broke the bill down in our guide to Gong pricing.

CRM assistants

Salesforce and HubSpot both build assistants into the CRM itself. Salesforce’s Agentforce is priced by usage (per conversation or with Flex Credits) or as per-user add-ons, and the figures reported by partners differ, so ask Salesforce for a quote. HubSpot’s Prospecting Agent, part of Breeze, runs on HubSpot credits and needs Sales Hub Professional or Enterprise, according to partner guides. These assistants see only what’s in that CRM, so they suit teams that already keep everything there.

What an AI sales assistant can do during a call

Deals are often lost on a small moment. The buyer asks the price of the second plan, whether you integrate with their system, or how you compare with a competitor, and the rep says “let me get back to you.” A real-time assistant is meant for that moment. A good one:

  1. hears the other side of the call as well as the rep’s microphone;
  2. finds the answer in your own files, with the price from the right row of your price list;
  3. shows it in a second or two, before the buyer moves on;
  4. tells the rep where the answer came from, so they can trust it;
  5. writes the notes after the call, so the rep doesn’t type while listening.

It won’t make the rep a better listener, though. A rep who reads the screen instead of hearing the buyer makes the call worse.

How to choose an AI sales assistant

Start from the problem you want solved:

Your problemLook at
Reps stall on product, pricing or competitor questions during callsA real-time call assistant that answers from your own files
New reps take months to rampA real-time assistant with a playbook, plus conversation intelligence for coaching
Managers can’t see what happens on callsConversation intelligence
Not enough meetings bookedAn outreach writer, or an AI SDR agent if you can review what it sends
CRM is always out of dateA CRM assistant, or a call assistant that writes notes into the CRM

Then put the same questions to every vendor:

  1. Where do the answers come from: cards someone writes, a framework, or your documents?
  2. Does it join the call as a bot, and does that matter to your buyers?
  3. Does it work on the calls you actually make: Zoom, Meet, Teams, your dialer, WhatsApp?
  4. Is the price public, and is there a platform fee or a seat minimum?
  5. What happens to the recordings and transcripts: where are they stored, for how long, and are they used to train models?
  6. Can one rep try it on real calls this week, without an integration project?

What it costs

Prices as vendors publish them or buyers report them, checked in October 2026:

ToolPrice
RealtimerFree with your own API keys; Pro €29 a month (7-day trial); Team €49 per seat
Aircall AI Assist Pro$49 per user a month on annual billing, on top of an Aircall plan
Avoma$19 to $39 per recorder seat a month on annual billing; Conversation Intelligence add-on $29
GongNot published; buyer reports about $1,300 to $1,600 per user a year plus a platform fee
HubSpot Breeze agentsHubSpot credits, on Sales Hub Professional or Enterprise
Salesforce AgentforceUsage based or per-user add-ons; ask Salesforce

Setup can cost more than the license. A tool that needs a long integration project, cards written by a manager or a clean CRM before it helps will cost you staff time first.

Risks to plan for

Wrong answers

A generative model can state a price or a feature that doesn’t exist. Prefer tools that show where an answer came from and check numbers against your documents. Realtimer, for example, takes prices from the row in your price list and checks the numbers in the answer against it.

Recording consent

About a dozen US states, including California, Florida and Illinois, require every person on a call to agree to recording; the EU’s GDPR adds its own rules on processing call data. A tool without a bot still transcribes the call, so the consent rules still apply. Tell people when you transcribe.

Data leaving the company

Ask where audio and text go, whether the vendor stores them, and whether they train models on them. Some vendors offer self-hosting or your own encryption keys on enterprise plans.

Reps leaning on the screen

Set one rule: the assistant suggests and the rep decides what to say.

Where Realtimer fits

Realtimer is a real-time AI assistant for sales calls on Mac. It listens to the call on the rep’s own computer, so no bot joins and it works with Zoom, Meet, Teams, WhatsApp and web dialers. When the buyer asks something, the rep presses a key and sees an answer from the team’s own playbook, battlecards and price list in about a second, with the source; after the call it writes notes. It doesn’t do forecasting, outreach or pipeline reviews. Details are on the sales assistant page, and our list of 20 real-time AI sales assistants compares it with the others.

FAQ

What is an AI sales assistant?

Software that does part of a salesperson’s work: account research, writing outreach, answering questions during calls, writing notes or updating the CRM. Most tools do one or two of these jobs.

What’s the difference between an AI sales assistant and an AI SDR?

An assistant helps a rep, who still decides what to send or say. An AI SDR agent works on its own: it finds leads, writes and sends outreach, and books meetings.

Can an AI sales assistant help during a live call?

Yes, if it’s a real-time call assistant. It listens to the call and shows answers or prompts while the buyer is talking. Conversation intelligence tools such as Gong mostly help after the call.

Does an AI sales assistant have to join the call as a bot?

No. Some record by joining the meeting as a participant; others listen to the audio on the rep’s computer, so nothing appears in the participant list. Consent rules for transcribing apply either way.

How much does an AI sales assistant cost?

From free (tools that use your own AI keys) to about $49 per user a month for a phone-system add-on, to $1,300 or more per user a year plus platform fees for conversation intelligence suites.

Will an AI sales assistant replace salespeople?

The Salesforce survey points the other way so far: sellers expect agents to save time on research and email, while the calls stay with people. The assistant’s job is to make those conversations better prepared.
